DataDiwan OS: Running Our Own Company on a Virtual Team
Problem
We ran DataDiwan's own sales, delivery, finance, and marketing operations manually across email, spreadsheets, and disconnected tools. Leads waited days for a first reply. Content creation ate hours per topic. There was no single view of what was happening across the business.
Approach
Built an AI-powered operating system where a virtual team of five directors — sales, operations, finance, marketing, and business development — works alongside the human team. A Chief of Staff coordinates them, and one rule applies across the board: no email, proposal, or invoice leaves the system without a human saying yes first. Shared Company Memory ties every director to the same context, past decisions, and morning briefing.
Result
Leads get a qualified response within 1 business day instead of waiting. Delivery risks surface before deadlines, not after. No invoice goes overdue without a flag. Content creation dropped from ~2 hours to ~15 minutes per topic. One Command Center replaces four separate tools — the team starts each morning with a single view of what needs their attention.
- ◆A virtual team of five directors handles sales, delivery, finance, marketing, and prospecting — each scoped to one job, none acting without approval
- ◆Every decision is logged with its reasoning, so the team can see why anything happened
- ◆No external email, proposal, or invoice is sent without explicit human sign-off
- ◆One morning Command Center replaces four separate tools with a single pending-decisions queue
